- As Performing Artists will be donating their time and talents for the Charity’s event, as a show of good will and appreciation to the Performing Artist, the Charity is highly recommended to promote and provide appropriate publicity and exposure to the Performing Artist and the charity event.
- As the Performing Artist may not have or may require additional equipment to perform for the Charity, it would be prudent for the Charity to discuss this with the Performing Artist to ensure the required equipment is available and to come to an agreement as to the type of equipment the Charity may be able to supply, to supplement the equipment that the Performing Artist will be bringing themselves.
- As it is the role of Artists4ACause.org to facilitate connections between Charities and Performing Artists, we hope that a long term relationship will develop and be maintained for the benefit of both parties and will be one of trust, mutual respect and possible future collaborations.
- It is important that when Charities begin to engage with Performing Artists who are donating their time and talents, that the discussions take place from a standpoint of mutual fairness, courtesy, consideration and reciprocal honesty in order to build up a professional degree of trust between the parties concerned.
- It is incumbent on the Charity to take all steps necessary to create and maintain protocols in place to ensure the Performing Artist does and is not subject to any inappropriate, discriminatory, verbal and/or physical abuse, behaviour or language. A zero tolerance policy for this behaviour must be enforced by the Charity to ensure this value is maintained at or around the charity event.
- It may be that the Charity, using their reasonable discretion, may need to alter the date or time of the charity event or cancel the charity event due to a change in circumstances. Should this occur, or be likely to occur, the Charity will use best endeavours to immediately inform the Performing Artist as soon as possible to allow the Performing Artist to make new plans, minimize costs and any loss that may result from the change to the date, time or other particulars of the charity event.
- As the Performing Artists will be donating their time and talent to the charity event, it should be appreciated by the Charity that the Performing Artist may have other commitments around the time of the charity event and it is recommended that both parties discuss and agree to a schedule or timetable for which the Performing Artist may be best placed to rehearse and perform at the charity event.
- Noise pollution has become an important topic in recent years due to the growing proximity of live events occurring ever closer to surrounding housing suburbs. It is incumbent upon the Charity to check and ensure that all the appropriate approvals and licenses are in place to ensure compliance with the approvals and licenses that are obtained for the charity event.
- The safety at any charity event is necessary for both Performing Artist and all attendees. It is a fundamental requirement that the Charity be responsible for checking and ensuring all safety measures, including but not limited to appropriate security measures are in place for the event. In a case of any injury suffered by a Performing Artist and/or any attendee, it is a requirement of the Charity to ensure the appropriate medical emergency facilities and insurances are in place for both the event venue and any third party injuries.
- For the vast majority of Performing Artists, performing at full professional capacity for an extended period of time can be very draining both physically and mentally. Thus, Charities can assist in this situation by providing the Performing Artist with any requirements they may request including but not limited to ensuring hydrating and non-alcoholic drinks are available to maintain adequate hydration of the Performing Artist and any other dietary sustenance for breaks taken during the performance.
- Under no circumstances should the Performing Artist be given or provided with alcohol and/or allowed to consume alcohol and/or any illicit or other drug at any time on the event premises. Any breach of this rule should be immediately reported and documented to the proper responsible authorities such as the manager of the charity event.
- Any claims by the Performing Artist of any sexual harassment and/or verbal and/or physical abuse should be reported to the appropriate authorities immediately and the manager of the charity event and the manager is required to document this and take appropriate action.
- If the journey to the charity event location is substantial for the Performing Artist, it would be suggested as a show of goodwill by the Charity to offer assistance with travel arrangements and/or provide suitable accommodation for the Performing Artist. This will lead to an increased professional and trusting relationship leading to future instances where the Charity may again require the services of the Performing Artist.
